Contacts

The Contacts area allows you to enter and maintain all of the contacts that your Property works with, helping build relationships with your clients and to maintain those relationships. Contacts are used with Companies and Groups, and are typically the people that you are "working with" on a particular booking. These contacts are not necessarily guests - while a contact MAY be a guest who has been designated as a contact, they do NOT have to be. They may, for example, be the person at a Company that makes the reservations for all their staff. A Contact record, or Contact account, contains detailed information for any individual designated as a contact for a Group or a Company. A contact record contains the much the same information as a guest or group record would, but might not have any stays associated with it.

Note: Typically company information may contain several different contacts; if so this can be considered a Contact Group.

It is possible to add a Contact to a Company account or a Group account (using the Contacts tab and adding a Contact using the "Select/Create Guest to Add as a Contact" screen) or even to a Group Folio (by using the Booking Contact(s) Section within the Contacts and Services tab), which enables you to enter the required information to create the new record. However, it is recommended that you create the Contact account separately, and associate the contact with the desired Company or Group there. (Note: Any guest can become a Contact; check your records in Skyware before creating a new account to ensure that a guest record does not already exist for the individual before creating one).

To create a Contact record in your Skyware Systems DIRECTLY you will need to open the Contact Account information screen and enter the details there. The Contact Account screen has several tabs on which information may be entered. These tabs include General, Other, Contacts, Stays, and Comments. However ONLY the General tab contains REQUIRED fields for generating a new Contact entry.
